Cancellation & Refund Policy

This page explains the Looks4Real BV Cancellation & Refund Policy Framework. Looks4Real controls the framework and the allowed choices. Individual professionals and studios set their own service terms within those choices. Your booking always keeps the exact policy that applied when you booked — later changes to a provider’s policy do not rewrite past bookings. This document is a product policy summary, not legal advice. LEGAL_REVIEW_REQUIRED before treating it as final consumer-statutory terms.

1. Who decides what

Looks4Real BV defines mandatory platform rules, allowed provider choices, and financial safety boundaries.

Providers configure cancellation windows, late-cancellation refund percentages, no-show refunds, deposits (when enabled), rescheduling, late-arrival grace, and whether they allow exceptions — only using Looks4Real-approved options.

Customers see the applicable service policy before booking. That policy is snapshotted onto the booking.

2. Provider service policies are not identical

Do not assume every service uses the same refund percentage. Each bookable service has its own active policy within this framework.

Before you pay, check the provider’s Cancellation & Refund summary for that service (deadline, late refund %, no-show, deposit, reschedule, late arrival).

3. Customer cancellation

Each service sets a notice window of 12, 24, 48, or 72 hours before the appointment start time (exact timestamps, not calendar-day approximations).

Cancel before that deadline and you receive the standard/full refund of the eligible paid amount under that service’s policy.

Cancel at or after the deadline and the service’s late-cancellation refund percentage applies (100%, 75%, 50%, 25%, or 0%).

4. No-shows

If a customer does not attend, the service’s no-show refund percentage applies (separate from late cancellation).

A provider no-show is a provider-side failure. Looks4Real protects the customer under platform rules; it is not treated as a customer no-show.

5. Deposits

When a service requires a deposit, the amount or percentage and refundability rules are shown before booking.

Deposits cannot exceed the service price. Deposit retention follows the service’s deadline rules — not an arbitrary undisclosed penalty.

Collecting deposits also depends on platform payment capabilities being enabled for that marketplace mode.

6. Rescheduling and late arrival

Services set a reschedule notice window (12–72 hours) and what happens after that deadline (apply late-cancellation policy, one free late reschedule, or provider discretion).

Late-arrival grace is 5, 10, 15, or 30 minutes, with a stated consequence (continue with reduced time, reschedule if available, treat as no-show, or provider discretion).

7. Provider cancellation

If the provider cancels, customer refund protection follows platform rules — not the customer’s late-cancellation percentage.

Provider reliability consequences are separate from the customer refund calculation.

8. Exceptions and exceptional circumstances

Some providers allow one-off exceptions (full/partial refund, waive a charge, accept a late reschedule) or case-by-case review for genuine emergencies.

Exceptions are recorded on the booking. They never silently rewrite the published service policy.

9. Online payments vs cash

Card and other online marketplace payments may be refunded through Looks4Real’s payment rails after a policy decision.

Cash bookings do not go through Stripe refunds. Any cash refund is handled directly between customer and provider as applicable.

Looks4Real’s policy engine decides eligibility; payment processors only execute approved money movement.

10. Policy versioning

Every published service policy has a version. New bookings use the current ACTIVE policy. Existing bookings keep their original snapshot (old booking → old policy).

Providers must have an active Cancellation & Refund Policy on bookable services before a studio can go online / publish to customers.

11. Platform financial safety

Refunds cannot exceed what was actually paid or what remains refundable.

Financial decisions are server-authoritative. Clients cannot set refund amounts or payment IDs.

Refunds are idempotent and leave an immutable ledger trail where the online payment path applies.
